TERMS AND CONDITIONS FOR CHSF EVENTS
Thank you for choosing to support CHSF through one of our fundraising events.
These terms and conditions contain important information regarding participation, and upon entry you agree to and accept these terms and conditions.
General Terms
- In the event of circumstances beyond our control resulting in us being unable to provide our services, we shall have no liability in respect of any losses or damages arising directly or indirectly from such circumstance.
- All bookings are subject to these terms and conditions which may not be varied without our written agreement.
- All participants taking part in a CHSF event, or an event promoted by CHSF do so at their own risk. In no circumstances shall CHSF be liable for any injuries, loss or damages whatsoever, including indirect, punitive, special, incidental or consequential losses connected with any aspect of this event.
- If necessary, you should gain advice from your GP as to whether you are physically prepared to undertake the challenge.
- Photographs will be taken of participants throughout the event, these will be used by CHSF on social media, promotional materials and any other marketing at the discretion of CHSF. It is the participant’s responsibility to let staff know at registration and/or via writing if you do not want to appear in any such materials.
- You are not permitted to use any of the sponsorship money that you raise to pay for your expenses. If you do not pass all the money that you raise to CHSF you are committing a criminal offence.
- The information you provide at registration will only be shared outside the organisation if you have a booked onto an event with an external event provider, it will not be passed to or shared with any other organisation.
- We will keep your details on our database so we can provide you with the best possible support every time you contact us.
- If applicable, you will use the equipment in the pack to fundraise for CHSF only and you will submit the money to them (CHSF).
- You will pay in all fundraising no later than six weeks after the event using the information provided in the pack and on our website. If you receive funds/sponsorship after this date, you will make every effort to pay to CHSF within 30 days.
- If you have registered for a charity place from CHSF, you will raise the minimum sponsorship specified by CHSF upon booking.
- If you have received a discounted place or free place for any CHSF event, the Benefit Rule will apply for Gift Aid.
- What is the benefit rule? If a person receives a significant benefit as a result of giving money to charity, HMRC no longer see this gift as a voluntary donation, so it would not be eligible for Gift Aid. The benefit rule is used by HMRC to determine a level above which a donation is no longer considered a voluntary gift.
- When does the benefit rule apply? It is most often fundraising events where the benefit rule applies. For example, charity challenge events, such as overseas or adventure events where accommodation/travel/food is provided. This will give a large benefit to participants who fundraise to cover their costs. If the charity is paying towards the cost of the event, then the benefit rule also applies. Examples of such events include: overseas treks, skydiving and challenge events.
If the benefit rule is breached, donations from connected persons are also ineligible for Gift Aid. If the person receives a benefit, such as free accommodation, a discounted or free place, their connected persons are deemed to also benefit from this, rendering their donation ineligible for a Gift Aid claim.
- What is a ‘Connected Person’? A connected person is defined as a spouse/civil partner of the donor/fundraiser, a linear relative of the donor/fundraiser or spouse/civil partner and a company under the control of the donor/fundraiser or one of the connected persons. You should advise the people sponsoring you about the benefit rule and if they are a connected person not to tick the Gift Aid box.

- Any registration or booking fee paid is non-refundable. Where possible, we will look to reschedule the event and transfer your booking.
- Should you, for whatever reason, not take part in the event, all sponsorship forms and monies collected should be forwarded to CHSF or returned to your sponsors
If you are participating in the Skydive, please also read the following event-specific terms and conditions:
By taking part in a skydive in aid of the Children’s Heart Surgery Fund you are bound by the following terms and agree:
- Your £550 sponsorship is made up of; a £50 booking fee made payable by yourself and goes towards your sponsorship; £229 skydive training fee and £171 donation to CHSF. Any money raised over £550 is classed as additional sponsorship and goes directly to the charity.
- That if you intend to cover the cost of the skydive with sponsorship money you will aim to meet the minimum fundraising target set by the charity, otherwise you will cover the remaining amount yourself. If within cancellation dates, we will re-schedule or pull out and return the money to the sponsors.
- To make every effort to exceed the target.
- To send on any additional funds raised directly to the charity within the timeframe agreed. Failure to do so is considered theft.
- To make clear to sponsors if you are not paying for the skydive yourself, that the costs will be covered by the donations.
- That your contact details will be passed on to the charity and Skydiving centre. This is so that we may support you with your fundraising efforts and arrange to collect any additional sponsorship after the jump and so that Skydive Hibaldstow may contact you regarding your skydive. Your details will not be passed on by us to any other third party for any reason.
- Skydiving is an adventure sport and participation involves a risk of injury or death and you voluntarily accept all the risks inherent.
- That the Children’s Heart Surgery Fund charity will not accept any liabilities or responsibility for you taking part in a skydive.
- Your contact details, height and weight information will be shared with the Hibaldstow Airfield to book you in for the skydive.
- PLEASE NOTE: 100kg (15 stone) is the maximum weight allowed per participant (with clothes on) and there will be a surplus charge for those weighing 95-100kg.
If you are participating in a challenge booked through Run for Charity, please also read the following event-specific terms and conditions:
CHSF subsidise all Run for Charity places. If you cancel your place, for any reason, after confirmation of booking you will be liable to pay CHSF the full bookings. Please contact CHSF for individual event costs
That if you intend to cover the cost of the chosen challenge with sponsorship money and you will meet the minimum fundraising target set by the charity, otherwise you will cover the remaining amount yourself
If you are participating in the Zip the Cow Zip Line Challenge, please also read the following event-specific terms and conditions:
The Zip the Cow zip line challenge is not run by Children’s Heart Surgery Fund. This event is being run by Sue Ryder and Zip Slides UK. Please ensure that you read the Sue Ryder & Zip Slide UK terms and conditions below (1.1).
All participants taking part do so at their own risk. In no circumstances shall CHSF be liable for any injuries, loss or damages whatsoever, including indirect, punitive, special, incidental or consequential losses connected with any aspect of this event
The Fundraising terms and conditions noted below (1.0) contain important information regarding participation, and upon entry you agree to and accept these terms and conditions.
1.0. Fundraising Terms and conditions
- By taking part in a zipwire in aid of Children’s Heart Surgery Fund you are bound by the following terms and agree:
- A £35 booking fee is payable to CHSF upon registration. This fee is non-refundable. This amount will go towards the cost of the zipwire which is £75 per person.
- Your £200 sponsorship is made up of; £40 towards the remainder of the zipwire fee and £125 donation to CHSF. Any money raised over £200 is classed as additional sponsorship and goes directly to the charity.
- To make every effort to exceed the target.
- To send on any additional funds raised directly to the charity within 6 weeks of the event taking place. Failure to do so is considered theft.
- To make clear to sponsors that the costs for the zipwire will be covered by the fee and donations.
- That your contact details will be passed on to the charity and Zip Slides UK. This is so that we may support you with your fundraising efforts and arrange to collect any additional sponsorship after the zipwire and so that Zip Slides UK may contact you regarding your zipwire. Your details will not be passed on by us to any other third party for any reason.
- Zipwire is an adventure sport and participating involves a risk of injury or death and you voluntarily accept all the risks inherent.
- That the Children’s Heart Surgery Fund charity will not accept any liabilities or responsibility for you taking part in a skydive.
- Your contact details, height and weight information will be shared with the Zip Slides UK to book you on the event.
1.1 Event Terms and conditions
SUE RYDER & ZIP SLIDES UK – Zip the Cow 2026 Terms & Conditions and Disclaimer
- Registration: Every participant must fill in their own registration form online unless:
- The person completing the form is doing so as the parent or guardian of a participant aged under 18 in which case the parent or guardian must inform the participant that they have signed the terms and conditions on their behalf and that their participation in the event will be governed by these terms.
- The person completing the form has or reasonably believes that they have the participant’s consent to their doing so on the participant’s behalf. The person completing the form must make the participant aware of these terms and conditions in good time before the event. In the event that the participant does not agree to be bound by these terms and conditions they should withdraw from the event. Participation in the event shall be deemed to be acceptance of these terms and conditions by the participant.
- Postponements: Due to unexpected health and safety reasons on the day, the Zip the Cow event may have to be reduced, altered or postponed to accommodate unexpected complications (for example, very high winds or lightening). Where Sue Ryder has to postpone the event you will be entitled to transfer your place to the rescheduled event. Sue Ryder accepts no further liability in respect of any such postponement.
- The Event Start: It is the participant’s responsibility to arrive at the site to park, register and prepare for the event in time to hit their time slot. Missing your slot could result in missing your place in the event. The organisers retain the right to make a change to the advertised start time.
- Contact Details: Participants are personally responsible for updating the organisers with any new address and telephone details. All participants must provide emergency contact details. In the case of an emergency, Sue Ryder may use the Emergency Contact details provided by you to contact your home or office.
- Health and Fitness: The event has been designed as a low risk event for the averagely-fit person. All participants should satisfy themselves that they are in good health and physically and mentally able to participate in the Zip the Cow. If in doubt, participants should consult a GP or hospital doctor prior to the event.
- Liability: Zip the Cow is operated by Zip Slides UK on behalf of Sue Ryder, and all participants take part at their own risk. Sue Ryder accepts no responsibility for any death or personal injury suffered by any participant personally as a result of taking part in Zip the Cow in the absence of negligence or breach of statutory duty on the part of Sue Ryder. Sue Ryder accepts no liability whatsoever for any damage to any participant’s property. Personal accident and public liability insurance cover is advised to cover any loss, damage or injury you may sustain yourself or to your personal property or cause to a third party or their property. Your name on the entry form confirms your acceptance of these conditions of entry.
- On the day, Zip slides UK will ask you to sign up to their terms and conditions which we will circulate to participants in due course before the event.
- Risks: Zip Slides UK has a comprehensive risk assessment process for the event which aims to minimise or eliminate the risk to everyone taking part. In addition, for the non Zip slide related elements of this event Sue Ryder has a comprehensive risk assessment process for the event which aims to minimise or eliminate the risk to everyone taking part or spectating. However, by taking part in this event and inviting spectators to attend, you acknowledge that there may be conditions or circumstances beyond our control that can lead to unforeseen risks.
- Eligibility to take part: This event does not have age or height limits. Zip Slides UK does however enforce weight parameters for all participants who must be over 5 stones (32Kg) and under 17.5 stone (111KG). It is each under 18yr old’s parents/guardians responsibility to ensure they or their children are between these weight parameters and suitability fit and healthy to take part in the event.
- Clothing and Footwear: Participants are reminded that this is an outdoor activity and that it is participants own responsibility to wear footwear and clothing appropriate to walking up the paths on Ilkley moor to the launch tower. Participants should therefore take note of the predicted weather on the day as parts of the walk may be slippery and exposed to the elements.
- Sponsorship: Zip the Cow is an exclusive Sue Ryder fundraising event. Sponsorship monies raised may not be given to or shared with any other organisation. Participants are advised that they have a legal responsibility to ensure that all sponsorship monies and donations received for Zip the Cow are paid to Sue Ryder within a reasonable time.
- Smoking, Alcohol and BBQ: Sue Ryder asks that participants and supporters do not smoke at the event site during the event, this is as especially the case in light of the moor fires that damaged this area in 2019. In addition BBQs are not permitted in this area by law. Whilst the bar in the Cow and Calf pub will be open for most of the event day, for health and safety reasons, participants should not consume excessive amounts of alcohol prior to the event, anyone who Sue Ryder deems to not be in a suitable condition to take part will not be allowed to climb the launch tower. Furthermore alcohol may not be consumed between the foot of the tower until the end of the zip slide.
- Data Protection: Please be aware that by registering you authorise Sue Ryder to process your personal and sensitive data in accordance with the GDPR and Data Protection Act 2018 for the purposes of this event. By ticking the terms and conditions box on our registration form you agree to Sue Ryder using your personal and sensitive data for the purposes outlined above. For further information about how we use your personal data please refer to our privacy policy which is available on request.
- Publicity and photographs: By participating, participants agree to take part in pre and post-race publicity which may include interviews, photography and/or filming for Sue Ryder internal communications, local and/or national media and online media. We will also take photographs and/or videos during the event. We may also share images taken by our photographer after the event in case participants want to download them as momentos.
- By signing up to this event participants agree to Sue Ryder and our co-organisers using the images/video referred to above for future promotional materials, unless they notify us of any specific objections. The promotional materials may include leaflets and posters, web pages, emails/mailings and social media postings. Please inform us if you would prefer for us not to share images of yourself or members of your family. In the event that you raise any objections to the use of any image in which you are featured after the event Sue Ryder will remove that image from its website and refrain from any future use of it, but cannot undertake to remove from circulation any printed materials already in use.
- Sue Ryder and our co-organisers will endeavour not to use any photographs, images or likenesses of children aged 16 or under which identify them without express consent from a parent/guardian.
- Where we wish to provide identifying information along with a photo (for example in a press release if you win the event) we will ask the person involved or their parent or guardian for permission to publish the photo with identifying information. If this permission is not provided either in writing or verbally we will not publish the photo.
- Supporters are welcome to take pictures on the day but please ensure that, where the pictures capture images of children, only one’s own family members are included.
- Animals: Please note that animals are not permitted to participate in this event. Spectators are permitted to bring dogs but these must be kept on a short lead at all times and be cleaned up after.
- Disclaimer: I hereby apply to participate in this event. I understand and agree to abide by the terms and conditions of the event (above) and the rules of the organisers agree to act with consideration for others whilst participating. I agree that I will follow the instructions given by the event organisers and stewards.
